Everything your shop runs on

One system for the board, the counter, the bays and the books. Here's what's in PitCrewly today, in plain words.

Shop floor

  • Workflow board

Every job on one board, in columns you set up. Assign a tech and see how far along each job is.

  • Order screen

Services, canned services and line items in one place. Open any line to set markup or margin. Parts and tires get their own tab.

  • Ready-to-start checks

An order checklist and assignment check before work starts, so nothing goes to the bay half set up.

  • Labor marked done, line by line

Techs mark each labor line complete, so you know exactly what's left.

  • Notes with @mentions

Leave a note on the order and @mention the person who needs to see it.

  • Tech phone app

Techs work from their phone: their jobs, the time clock, job timers, notes and photos. It installs from the browser, no app store.

  • Digital inspections

Inspect the car and add photos. Send the customer a link to the finished inspection, so they see what you see.

  • Maintenance due

PitCrewly suggests maintenance that's due on the car, so you can add it to the order in a tap.

  • Time clock

Techs clock in and run job timers. Reports compare clocked hours to billed hours.

Customers and approvals

  • Customer and vehicle wizard

Add a customer and their car in one flow. Look the car up by VIN or by year, make and model.

  • Online estimates and invoices

Send the customer a link to their estimate. They read it and approve it online. Invoices work the same way.

  • E-signatures

Customers sign to approve an estimate, accept an invoice, or sign a performance waiver. They sign from a link on their phone, or on an iPad at your counter in kiosk mode.

  • Coupons

Set up coupons and apply them to an order. Changes on approved or paid orders ask for confirmation first.

Payments

  • Take cards your way

Key in a card, send a payment link, take a deposit before work starts, or use a card terminal at the counter.

  • Apple Pay and Google Pay

Turn on Apple Pay and Google Pay, and customers can pay with them on the payment page.

  • Card surcharge, done right

Turn on an automatic surcharge for credit cards. It applies to credit cards only, never debit, and the customer sees it before they pay.

Parts and purchasing

  • Purchase orders

Make purchase orders from the parts on an order, track them by vendor and receive them when they show up.

  • Vendors

Keep your parts vendors in one list, and see what you spend with each.

  • PartsTech integration Rolling out

Search parts across your PartsTech suppliers and order without leaving the order. Built and waiting on final partner setup.

Scheduling

  • Shop calendar

Day, week and month views, by bay or by tech. Drag an appointment to move it or stretch it to change its length.

  • Reminder texts

Customers get a confirmation and a reminder text before their appointment, sent only between 10am and 6pm Central. Texts start once texting is live on your shop number.

  • Online booking

Customers book themselves from your booking page, inside the hours and rules you set. Bookings wait for you to confirm, or go straight in if you choose.

Phone and texting

  • AI phone receptionist

Answers the calls you can't get to. It says it's an AI, can book appointments into your calendar when you turn phone booking on, tells callers their car's status when their number matches the customer on file, takes messages and alerts you. How it works

  • Two-way texting

Text with customers from one inbox, with STOP opt-outs handled for you. Texting goes live on a new shop number once carrier registration for that number is approved. How texting works

Reports

21 reports, each on screen and as a spreadsheet download:

  • Sales and tax

Sales tax, sales summary, end of day, sales by customer, sales by category.

  • Payments

All payments, payments by type, refunds and disputes, deposits.

  • Invoices and estimates

Unpaid invoices, customer aging, all invoices, open estimates.

  • Profit

Order profitability, parts and labor margin.

  • People

Technician hours, services by technician, service writer performance, commission, time log.

  • Purchasing

    Spend by vendor.

Built-in accounting

  • Bank feeds

Connect your business bank accounts through Plaid. Transactions come in on their own.

  • AI sorts your transactions

AI suggests a category for each transaction. The sure ones are filed for you with one-tap undo. The rest wait for you.

  • Deposits matched for you

Bank deposits are matched to the payments you took, so you know what landed and what didn't.

  • Real books

Double-entry books behind the scenes. Profit and loss, balance sheet and bank reconciliation.

  • Money dashboard

A live dashboard with charts: profit, costs, income and cash, compared with the last period.

Your team and security

  • Roles and permissions

Owner, service writer, tech and bookkeeper roles. Service writers don't see profit or the books. Techs see their own jobs.

  • Two-step sign-in

Every login uses two-factor authentication with an authenticator app.

  • Test mode

Try things out in test mode first. Customer texts come to you instead, and card payments run in the processor's sandbox, so no real money moves.
